While the New Year is focused on a reinvigorated dedication, most people want compassion and an achievable goal in Q4.

A client traveling for the holidays may have no familiar gym and very little control over the family schedule. A campaign built around perfect attendance gives that person another obligation. Here’s how to offer flexible ways to stay connected, including the option to rest.

Invite clients to choose what fits their holiday

Use October to introduce a holiday support campaign that runs through November and December. Make the offer a short planning conversation with a coach. The outcome is a manageable routine, not a promise about weight or appearance.

Give clients three options, with the freedom to change their choice:

Choose a walking option for days when an outdoor or indoor route is suitable.

Choose an adapted movement option that works in any available space (not requiring a gym).

Choose a rest option when taking a break fits your needs.

Keep step counts optional or weekly based rather than daily. Goals should be around mental health and feeling rather than the number on a scale.

Use this sample invitation in your newsletter or on your studio noticeboard:

The next few weeks will be busier for some of you and quieter for others. Either way, the plan you had in October probably doesn’t fit December — and that’s fine.

If you’d like, call 877-DEC-PLAN to book a short planning call. Fifteen minutes, no prep needed. We’ll talk through what your actual weeks look like and pick something that fits:

— A walking option, indoors or out, depending on weather and time
— An adapted movement option you can do in whatever space you have, no gym required
— A rest option, when rest is the thing that fits

You can change your choice any time. Nothing is locked in, and there’s no holiday leaderboard.

Make the advice specific enough to use away from home

For clients who want to walk, offer practical choices instead of a mandatory daily target. They might take a short walk with a relative or find a suitable indoor route at a mall or airport. Ask them to consider conditions and their own needs before choosing.

A coach can also help clients identify a comfortable movement option for a small space. Keep that guidance within the coach’s qualifications. An unfamiliar hotel room is not a reason to prescribe the same routine to everyone.

If your campaign includes food content, keep it supportive. Offer a planning prompt such as choosing a familiar meal option for a travel day. Avoid messages about earning dinner or compensating for holiday food.

Individual nutrition advice belongs with an appropriately qualified professional. Your campaign does not need meal rules to be useful. A reminder that clients can enjoy a celebration without reporting their plate is usually the more considerate message.

Send fewer messages with clearer permission

Invite clients to opt into a short holiday email series through your normal consent process. State the frequency before signup. Make stopping the messages easy.

Use a simple three-message sequence:

In October, invite the client to choose a holiday support option.

In November, share one practical travel idea and offer a planning call.

In December, remind the client that they can adjust the plan or take a break.

For the December message, try: “Plans changed? You can change your routine too. Call us if you want help adjusting it.” Do not turn a missed check-in into an automated warning about falling behind.

Put the same phone number at the bottom of all three messages. A client who deleted the October email should still be able to reach you from the December one without hunting through their inbox.

Give the winter campaign a number people can actually remember

A client standing in an airport with a dead phone battery is not going to scroll back for a link. They need something they can recall. That is the case for a dedicated seasonal vanity number.

Something like 877-DEC-PLAN works because it says what it is for. So do variations like 877-REST-DAY or 866-WALK-NOW. Pick one that matches the promise you made in the campaign, then put it everywhere the campaign appears: the newsletter footer, the studio noticeboard, the front desk sign, the bottom of every email in the sequence.

A seasonal number has a few practical advantages over reusing your main line:

You can measure it. Every call to that number came from the holiday campaign. You will know whether the idea worked without asking anyone to remember where they heard about it.

It sets expectations. People calling a number named for planning are not expecting a sales pitch, which is the whole point of this campaign.

It keeps your main line clear. Prospective clients calling about memberships still reach the front desk normally.

800.com offers toll-free and vanity numbers you can set up for a single campaign and keep or retire afterward. Choose one consistent number for client calls rather than distributing a coach’s personal number in every message.

Whatever you choose, tell clients when someone will return calls. A person asking about a pause should reach the same reliable contact point as someone buying sessions.

Staff your seasonal number with an AI agent

To some clients, an in-person phone call feels like a commitment. So let them know it’s your helpful AI agent that will take the call, answer questions, and can book on your actual calendar if they need a consultation or workout.

Because the number is dedicated to one campaign, your AI agent will do its job well. It is not answering for the whole studio. It is answering just for winter, which means you can give it a short, specific brief: be empathetic, here’s how to answer questions, and here is the coach calendar.

The important part is that it offers two endings, and treats them as equally good:

Book a call with a real person. The agent offers available times and puts one on a coach’s calendar. No pitch, no qualifying questions.

Just answer the question. Plenty of clients only want to know whether they can skip December without losing their spot, or whether the walking option needs a gym. If the agent can settle that in thirty seconds, the client does not need a call at all, and should not be steered into one.

Keep the scope narrow. The agent explains the options, books a time, or hands off to a person when the question goes past scheduling. It should not give training or nutrition advice, and it should not ask why someone missed a session. If a client says they want to rest through December, the right response is to confirm that and offer to check in later, not to counter-offer.

Keep the return conversation easy

Track planning calls and requests for support through your normal client process. A client who books a call, chooses the rest option, and comes back in January used the campaign exactly as intended.

Before clients leave a planning call, ask whether they want to arrange their next conversation now or contact you when they are ready. Then let the number do the rest of the work. If it is easy to remember and easy to reach, the client who needs an adjustment in the third week of December will actually ask for one.

Create a supportive holiday fitness campaign with flexible movement ideas, optional check-ins, and room for clients to rest.

[19,30
116,118,65,117
post-4543","post","type-post","status-publish","format-standard","has-post-thumbnail","hentry","category-marketing-strategy","category-startup-small-business","tag-fitness-coach","tag-holiday","tag-small-business","tag-training
<!-- This site is optimized with the Yoast SEO Premium plugin v28.1 (Yoast SEO v28.5) -
